Build a project plan from a goal and deadline
The problem
You know the goal and the deadline, but not how to break it into steps, milestones and dependencies.
Recommended approach
Use the assistant you already have to draft a planning hypothesis, leaving owners and durations open, then reconcile with real capacity. Move only the approved tasks into the tool your team already uses.
Try this now
- Define the outcome. Goal, deadline, scope and what's out of scope.
- List hard constraints. Fixed dates, budget, people available.
- Ask for a draft plan. Use the example request. Owners and durations left blank.
- Reconcile with reality. Check with the people involved; adjust dates.
- Move approved tasks. Copy only agreed tasks into your project tool or calendar.
What you should get: A phased plan with milestones, tasks, dependencies, risks and listed assumptions, with owners and durations left for you.
Goal: [goal]. Deadline: [date]. Out of scope: [x]. Fixed dates: [y]. Team: [roles, not names]. Draft a project plan: phases, milestones, tasks, dependencies and risks. Leave OWNER and DURATION blank for me to fill. List the assumptions you made.
Check the result
- Every date is achievable by real people
- Dependencies are in the right order
- Nothing important is missing (approvals, holidays)
- Assumptions are reasonable
Which tool to use
Use what you already have first. These options are not ranked.
Free option
Use one general assistant you already have (free tiers often enough)
Best when: You have no AI at work, or only a personal account
If you already have it
Use the AI built into your work apps
Best when: You have Microsoft 365 Copilot or Google Workspace with Gemini at work
Tools: Microsoft 365 Copilot Business, Google Workspace with Gemini
If you already have it
Already-owned option: AI in your project tool
Best when: The project already lives in Asana, Notion or ClickUp
Tools: Asana AI, Notion AI, ClickUp Brain
More options: plans, costs and subscriptions
Moderate: documented workflow fit; no independent head-to-head testing of these tools for this job. Prices come from each tool's record, with the date checked; always confirm on the vendor's page.
Free / already-owned option
Use one general assistant you already have (free tiers often enough)
- Best when
- You have no AI at work, or only a personal account
- Tools
- ChatGPT, Claude, Gemini
- Why it fits
- Breaking a goal into phases, tasks and risks is a standard strength of general assistants.
- Subscription
- Not required: free tiers can be sufficient; usage limits vary by plan.
- Cost (from tool records)
- ChatGPT: Free; Go $8/month U.S.; Plus $20/month. (reported, not re-checked 2026-10-21 · source)
Claude: Free; Pro $20/month billed monthly ($17/month with annual billing); Max from $100/month (U.S.). (verified 2026-10-21 · source)
Gemini: Free access plus Google AI Plus $9.99 and Pro $19.99/month U.S. (reported, not re-checked 2026-10-21 · source)
If you already have it
Use the AI built into your work apps
- Best when
- You have Microsoft 365 Copilot or Google Workspace with Gemini at work
- Tools
- Microsoft 365 Copilot Business, Google Workspace with Gemini
- Why it fits
- Useful if your project documents already live there.
- Subscription
- Only if your organization already licenses it. Don't buy it for this job alone.
- Cost (from tool records)
- Microsoft 365 Copilot Business: Promotional $18/user/month annual commitment; regular $21 shown at verification. (reported, not re-checked 2026-10-21 · source)
Google Workspace with Gemini: Workspace business pricing varies by plan; official page lists AI integrated across Workspace. (reported, not re-checked 2026-10-21 · source)
If you already have it
Already-owned option: AI in your project tool
- Best when
- The project already lives in Asana, Notion or ClickUp
- Tools
- Asana AI, Notion AI, ClickUp Brain
- Why it fits
- Creates tasks where your team already works. Not a reason to buy one.
- Subscription
- Free tiers exist; AI features may need paid plans or add-ons.
- Cost (from tool records)
- Asana AI: Personal free; Starter $10.99/user/month annual at verification. (reported, not re-checked 2026-10-21 · source)
Notion AI: Free; Plus and Business paid plans; AI credit structure changed in Oct. 2026. (reported, not re-checked 2026-10-21 · source)
ClickUp Brain: Base ClickUp has free/paid tiers; AI features/add-ons have additional limits/costs. (reported, not re-checked 2026-10-21 · source)
Assumptions
- You can use at least one general AI assistant (many have free tiers), or your employer already provides one.
- You are allowed to put this material into that tool. Check your workplace policy first.
Why this approach
Why it fits
- Any strong general assistant can break a goal into phases and tasks.
- Project software is worth it only if the project already lives there.
- Leaving owners and durations open stops a plausible plan from being mistaken for a feasible one.
When not to use it
- The plan commits other people. Agree it with them; AI doesn't know their capacity.
- Regulated or safety-critical projects need proper project management.
