Turn meeting notes into a follow-up email
The problem
The meeting is over, you have notes or a transcript, and you need to send a clear recap with who does what by when.
Recommended approach
If you already have notes, use the assistant you already have: first extract a decision/action/owner/deadline table, check it, then ask for the email. Add a meeting tool only if capturing the notes is your real problem.
Try this now
- Paste notes or transcript. Use your own notes or an existing transcript.
- Extract a table first. Ask for decision / action / owner / deadline / uncertainty, with blanks where unclear.
- Check the table. Fix owners and dates against your notes; fill blanks yourself.
- Ask for the email. Draft the follow-up from the checked table only.
- Send it yourself. Read it once more for promises you didn't make.
What you should get: A checked action table and a short recap email listing decisions, owners and deadlines.
STEP 1: From these meeting notes, make a table: Decision | Action | Owner | Deadline | Uncertain? Leave a cell BLANK if the notes don't say. Don't guess owners or dates. NOTES: <paste notes> STEP 2 (after you check the table): Write a short follow-up email to the attendees from this table only.
Check the result
- Every owner and deadline appears in your notes
- Blank cells were filled by you, not guessed
- No new promise appeared in the email
- Attendee names are spelled right
Which tool to use
Use what you already have first. These options are not ranked.
Free option
Use one general assistant you already have (free tiers often enough)
Best when: You have no AI at work, or only a personal account
If you already have it
Use the AI built into your work apps
Best when: You have Microsoft 365 Copilot or Google Workspace with Gemini at work
Tools: Microsoft 365 Copilot Business, Google Workspace with Gemini
If you already have it
Already-owned option: Zoom AI Companion
Best when: You use Zoom on an eligible paid plan
Tools: Zoom AI Companion
Specialist option
Specialist alternative: a meeting capture tool
Best when: Capturing notes is the bottleneck
Tools: Granola, Otter.ai, Fireflies.ai
More options: plans, costs and subscriptions
Moderate: documented workflow fit; no independent head-to-head testing of these tools for this job. Prices come from each tool's record, with the date checked; always confirm on the vendor's page.
Free / already-owned option
Use one general assistant you already have (free tiers often enough)

If you already have it
Use the AI built into your work apps

Specialist alternative
Specialist alternative: a meeting capture tool
- Best when
- Capturing notes is the bottleneck
- Tools
- Granola, Otter.ai, Fireflies.ai
- Why it fits
- They capture or transcribe the meeting, so you don't take notes by hand. Worth it only if that is your problem.
- Subscription
- Free tiers exist; paid plans for more.
- Cost (from tool records)
- Granola: Basic free; Business $14/user/month at verification. (reported, not re-checked 2026-10-21 · source)
Otter.ai: Basic free; Pro $16.99 monthly or $8.49/month annual-equivalent at verification. (reported, not re-checked 2026-10-21 · source)
Fireflies.ai: Free; Pro $18 monthly or $10/month annual-equivalent at verification. (reported, not re-checked 2026-10-21 · source)
Assumptions
- You can use at least one general AI assistant (many have free tiers), or your employer already provides one.
- You are allowed to put this material into that tool. Check your workplace policy first.
Why this approach
Why it fits
- Checking a table first catches invented owners and deadlines before they reach anyone's inbox.
- No meeting subscription is needed when notes already exist.
When not to use it
- The meeting was confidential and your tool isn't approved for it.
- The notes are too thin; fix the notes, not the email.
