Understand a spreadsheet without being an Excel expert

For: Anyone handed a spreadsheet they need to understand · Facts checked: 2026-10-21 · Use case UC038

The problem

You have a spreadsheet and a question, but not the confidence to know what the columns mean or what matters.

Recommended approach

Use the AI built into your spreadsheet if you have it (Copilot in Excel or Gemini in Sheets). First explain what a row and each column mean, then ask for a few findings with the calculation behind each. Check key numbers in the sheet.

Try this now ↓

Try this now

  1. Define a row. Write one sentence: “Each row is…”.
  2. Explain unclear columns. Units, currencies, date ranges, abbreviations.
  3. Ask your question. Use the example request below.
  4. Ask for the calculation. Every finding must show the numbers behind it.
  5. Spot-check in the sheet. Recalculate one or two totals yourself with a filter or SUM.

What you should get: A plain-English description of the data, a data-quality note, and 3 findings with calculations you can check.

Example input · edit before use
This spreadsheet: each row is [one order / one employee / one month]. Columns: [explain unclear ones and units].
Question: [what you need to know].
1. Describe the data in plain English
2. Flag missing or odd values
3. Give 3 findings, each with the exact calculation
Don't guess what a column means; ask me.

Check the result

  • Recalculate at least one finding yourself
  • Units and date range are correct
  • Missing values were handled sensibly
  • Correlation isn't presented as cause

Which tool to use

Use what you already have first. These options are not ranked.

If you already have it

Use the AI built into your work apps

Best when: You have Microsoft 365 Copilot or Google Workspace with Gemini at work

Tools: Microsoft 365 Copilot Business, Google Workspace with Gemini

Free option

Use one general assistant you already have (free tiers often enough)

Best when: You have no AI at work, or only a personal account

Tools: ChatGPT, Claude, Gemini

More options: plans, costs and subscriptions

Moderate: documented workflow fit; no independent head-to-head testing of these tools for this job. Prices come from each tool's record, with the date checked; always confirm on the vendor's page.

Subscription
Not required: free tiers can be sufficient; usage limits vary by plan.

Assumptions

  • You can use at least one general AI assistant (many have free tiers), or your employer already provides one.
  • You are allowed to put this material into that tool. Check your workplace policy first.

Why this approach

Why it fits

  • In-sheet AI can add formulas and charts where you keep working.
  • Telling it what a row means prevents the most common misreadings.
  • A file-capable general assistant works if you don't have in-sheet AI.

When not to use it

  • The data is personal or confidential and your tool isn't approved.
  • High-stakes financial reporting: use a qualified person.
